Multiple User Access

I have setup dial dicate and express scribe for testing.. One of the requirments is for multiple people to have access to all the dications. but right now with the express scribe I get updates automatically and when someone else try's to see the dications. nothing appears.

 

Is this somethign in a setting that needs to be changed... or is this not possible..

 

I basically need to have 4-5 users access all the dications from everyone and grab the one they need.
